APPROVED: DATE: 6-6-17 PLACE: Raccoon Lodge Restaurant PRESENT: BOARD MEMBERS: Todd Harris, Tim Ferrick, Kristen Moore Randy Thieme. Aaron Bucci, Tim Scott OFFICIALS: Karen McCoy ,Mary Thompson MEMBERS: Mike Smith ABSENT: Jim Weidenbaum, Mark Tabor, Dan Bullis, Jeff Zurschmeide Carrie Sutherland CALL TO ORDER: Todd called the meeting to order at 6:10 MEMBER/NEW BUSINESS COMMENTS: Welcome Mike Smith, nice to have you attending the meetjng. Mike asked for clarification as to the insurance coverage for The Rose Cup. Todd advised that Dan Heinrich would have this information. REGIONAL OFFICE: Karen advised that FOPIR has donated $500 for the Sat night dinner. She checked with EC on the status of the E Holes not being clearly marked, as mentioned earlier by Aaron. This is on their project list along with other repairs etc. There was some question from Vintage on the fact that some Porsche’s are much faster than other models in this class. Karen suggested that this should be discussed with the Chief Steward this coming weekend. Good news from Karen being that driver track damage is now being covered by our insurance. In years past this was collected from the offending driver. TREASURER: Absent (Karen supplied report to RE & Road Race Dir. LOUD PEDAL: Absent DIRECTORS REPORTS: ROAD RACE: We fielded 121 entries with 12 2nd entries. Kristen also felt May was good timing for The Super Tour. The June event will be a 2 day one with Club Trials added. SOLO II: Absent RALLY: Absent VINTAGE: No report DIRECTOR I: Randy asked for clarification on the PIR policy on early move in at the track. Kristen advised that early move in can happen with a payment of $20.00. Karen added that driver s can still come in and register the day before from 12 to 3. Your car or trailer however, cannot be left on site without paying the $20 fee at the front gate. Also, this payment must be in cash (they are not able to do credit cards) DIRECTOR II: No report PAST REGIONAL EXEC: Absent ASST: REGIONAL EXE: TNiA continues to go well. Can always use more help. On track start time was questioned by entrants, we may need to have Ntl. up the start time a bit. REGIONAL EXEC: Todd felt that The Super Tour overall was a good event. He was happy as a competitor as well as the RE of the region. The May date worked well and the weather cooperated this year. We had several states plus Canada represented with competitors. They have been doing this for years. It was unanimously agreed that the Rally arm of the club should do the same. Karen will start invoicing for each event when she can get the Rally event dates. Permission was asked to cancel our current PO Box and change the mailing address to a different PO Box nearer her home which would be more convenient. BOD approved. Financial reports provided to RE and RR Director. TREASURER: Absent LOUD PEDAL: Absent DIRECTORS REPORTS: ROAD RACE: Kristen felt that considering the weekend that we were working with that the entries for April looked good and that The Club Trials went well. Since we fell heir to that weekend for 2017……2018 should be different! With the 3 day Super Tour coming in May, she spoke of some issues that may arise revolving and early entry fee that PIR plans to implement. Friday entry will be 6 am. We have 52 entries so far and she expects that number to rise considerably. SOLO II: Absent RALLY: Absent VINTAGE: No report DIRECTOR I: No report DIRECTOR II: Aaron said that he had been approached by several drivers with concern of the condition of the track and its safety. There was some issues left over from the swap meet previously held and the massive amount of rain that occurred during their time at the track. Todd said that he was aware of the issues that the swap meet had, including the large amount of hay that was brought in to help with the water issues. He also mentioned that PIR had many track workers as well as volunteers that they called in to try to clean it up and get it prepared for our event. All in all he felt that they worked hard on it but it may not have reached the standard that we are accustomed to. Aaron also had concerns that some of the E holes were not clearly marked. He asked for comparison of Starting Line and TNiA. Todd advised that one is based on the Solo program and one the club program. PAST REGIONAL EXEC: Absent ASST: REGIONAL EXE: Tim looking forward to May 19th TNiA. He plans to try selling raffle tickets with a Club Trial Entry as the prize. Try to get more TNiA participants to venture into the club. REGIONAL EXEC: Todd advised that all in all he was happy with how the Fri/Sat went in April. There were 70 entries with 6 dropping out due to the rain. A bright spot was the 11 entries in Club Trials. He feels certain that this will increase as we move along.
