SOLO II: Absent RALLY: Jacob reported that their efforts at the last event to contribute to two charities had better results than he previously thought. They were able to provide $790 each to the two groups. The cat shelter was thrilled with plans already for their share and the wounded vet organization was planning a fishing trip for worthy veterans. Jacob said the final outcome was aided by the fact that SCCA Ntl helps out with the sanction fee if it is for a charity. The upcoming event this next weekend will undoubtedly result in a small loss. There is a conflict with the WA group on their event. VINTAGE: Tim was happy to say that the triple had 14 cars entered and no incidents. They did have 2 over prepped cars to deal with. DIRECTOR I: Aaron felt that the last TNiA went well and was happy to see that a couple of entrants came back on Sat and Sunday to the Time Trials, He expressed that serving on the BOD has been a good experience for him. While he would have liked to achieve more he was satisfied with his service. DIRECTOR II: Still working on the awards for the end of the year. They will be ready for the Nov annual meeting. PAST REGIONAL EXEC: Absent ASST: REGIONAL EXE: Derrick talked about efforts to a Grid Life type of event locally. Since this program is east coast run it is unlikely that they are prepared to come west anytime soon. He said that SCCA is interested in doing one as a part of Time Trials. This would be a fun event and most likely bring in new people. We would need a draw to get them to the track, such as a band etc. with a name that will draw younger people in. He will continue to pursue this project and work on ideas. REGIONAL EXEC: Tim said that he hopes we can resolve issues of conflicts such as Rally was facing in the future by getting together with like groups and create a calendar that will aid in selecting dates for events that will work for all involved. The annual meeting plans are in process, since we had our picnic in lieu of a banquet this year, this meeting will be for awards etc., with the region not offering any food. REGIONAL OFFICE: Absent TREASURER: Absent LOUD PEDAL: Absent DIRECTORS REPORTS: ROAD RACE: Kristen reported that our requested dates for 2019 have been turned into PIR for review. Notes: Pirelli Cup would like to have our April date. We might want to look at a Sept date instead of June next year. We also could entertain a co-event with NW Region in June. More to come on future dates. SOLO II: Rio advised that their toy project for children in The Packwood area will be an ongoing project for them. They welcome donations from the other groups as well. The next event for them is this weekend at Packwood. RALLY: Jacob talked about their recent event which included a charity event to benefit a local cat shelter and wounded vets. They had hoped to raise substantially more than they did but the heat was a problem. They did raise over a $1,000 and will split the proceeds between the two groups. This group is also trying to do a little fund raising to help the fire fighters that are battling fire along the roads normally used by The Oregon Trail Rally. Giving back to that community is their goal. VINTAGE: Tim felt that The Rose Cup provided lots of racing and more people than usual. They encountered a pre incident regarding sound but resolved the issue. DIRECTOR I: Aaron thought Rose Cup went well except for the awards being done too quickly. As a winner, getting thru the crowd to the podium was difficult. Aaron suggested that we get bios from the workers and have them in The LP. Mary mentioned that that had been done before and was a popular thing. Kristen agreed that this would be good to do. DIRECTOR II: Allie showed some samples that the end of year awards committee is looking at. She also relayed that they have secured some door prizes to give out at our end of year picnic on Saturday night. Rio offered 4 Solo Entries and Kristen and HP session. She also advised that she has been talking to some of the workers about their feelings. In general, they do not feel that they are getting enough recognition for their efforts. The lack of ice and poor food at Rose Cups was another issue they brought to her. Solo, who provides many instructors has an event that same weekend. Kristen will work with E.C. to secure another date, suggested were, Oct 7 & Nov 4. She also suggested that we try to correlate all events next year so as not to have these conflicts. Maybe we could work with Karen on all of the other groups and their events. By using this tool she can process credit cards on site. This will provide a considerable savings for the region. Using the previous vendor our 2017 usage fees were $6,000. A new canopy has been purchased with our logo prominently displayed on it. This can be used by the region at any events where we can promote the region and display literature etc. First outing will be at The Rose Cup. New region business cards have been secured to be passed out at events. One side has our region info on it and the other displays the racing flags and their meaning. Jeff coordinated with Karen to have these made at a very reasonable cost. TREASURER: Absent LOUD PEDAL: Jeff advised that all is good with the LP. In response to inquiry from Rio, Jeff will make an alteration to the web site to identify the Solo tab more easily identifiable. He advised that The Rose Cup Program is ready and that the ads in it are increased from last year. He has written an article about The Rose Cup that will appear in The Portland Tribune this Thursday. Jeff noted the passing of Rich Olmstead, a Rally member and revered friend. DIRECTORS REPORTS: ROAD RACE: Kristen announced that registration is now open for our 3 day event and that the schedule is on line. She advised that we take a hard look at how we want our 2019 season to look. There seems to be so many events in June that may account for low participation. Perhaps we should look to September as an option. EC/PIR will be asking for our date requests soon. SOLO II: Rio shared that their last event had 23/24 attendees, with half of them being new people. This event was scheduled for 5 runs but unfortunately 2 two incidents occurred requiring them to shut the day down after 3. As a result of this it was determined that more attention to tire wear prior to the runs might eliminate future problems. The cones with the region logo have been received and are a welcome accessory for all region events. The Ntl. Finals are scheduled for the first weekend in September in Lincoln, NB. The 13th Ntl. Tour will be in WA the week of Rose Cup. Rio will try to enlist any members not attending it to volunteer in the SCCA booth at Rose Cp. RALLY: Jacob advised that the leader of NW Rally Assn. has severed his ties to SCCA. The hope is that our group can form a good relationship with the WA group and perhaps gain access to the site they currently use. Their last event included 17 runs with 10 of them being on Saturday. The regions portion of the income will be sent to the region office shortly. A charity event is presently being planned. It will include Vets & Pets! Tire Rack Teen Street Survival will be held at PIR in September. Karen is working to secure instructors for this event. VINTAGE: Tim thought the last event had good participation. He also mentioned that the new LED lights at start finish look great. DIRECTOR I: Absent DIRECTOR II: Allie advised that she and co-chair Sandra have ideas circulating around the awards for the end of year part in August at the track. PAST REGIONAL EXEC: Todd stated that our paddock is a concern for large events and that we need to address tis in the future. He will be on KGW on Thursday to promote The Rose Cup Event. In addition media personalities will be out during the event. World Challenge should be a big draw and overall this event should be profitable for FOPIR. Hopefully with the return of some bigger events racing as a whole will benefit as interest in our sport is showcased. ASST: REGIONAL EXE: Derrick will The Pace Car Driver for the Pirelli portion of The Rose Cup Event. He is still working on securing info on Grid Life. He has contacted Heyward at SCCA Ntl for assistance on this project. REGIONAL EXEC: Tim mentioned that the paddock in Sonoma with 400 entries had issues akin to what we experienced here at our Super Tour. The paddock being so overcrowded was the only hiccup that was not able to be readily fixed. SOLO II: Rio presented a picture of the cones that he researched. The cost with The SCCA logo on them is $7.25 ea. These could be used by all of the groups as needed at their events. M/S (Kristen/Allie) to purchase 100 of these cones. They held a Starting Line on Saturday and had 18 participants, all new faces as well. Their next event will be the 23/24 in the south paddock. Work continues on the planned, Women in Racing Day. This event will be sponsored by women owned businesses as well and will happen in August. A great chance for the ladies……workers, drivers wives etc. to experience life behind the wheel/ Rio said that a site in WA that they are interested in has the support of the town and are eager to have events there as the economy has really hurt the area. July 13th will be a Champ Tour there and Solo plans to take toys to the kids in the community. RALLY: Jacob announced that they have found land in La Center that meets their requirements. The goal is to try to fill most weekends by sharing with other groups who need a location. More to come on this venture. Rally’s treasurer will be doing their taxes going forward. Jacob asked if there was any information needed by the office. Karen (via text) will check but did not believe so. Jacob and Karen to follow up on this. VINTAGE: No report DIRECTOR I: Absent DIRECTOR II: Allie advised that the awards committee is checking out awards and plan to implant some fun ideas into the venture. PAST REGIONAL EXEC: Todd said that many have asked him why he thought the June event had such a low turnout. His thoughts were that there were just too many events in a short span of time in The NW and CA. We are not alone in this as the last event at Laguna had very low entries as well. Only so much time and $ to go around. He hopes to have a report on Rose Cup by the next meeting. ASST: REGIONAL EXE: Derrick is still communicating with The Grid Life promoters researching the possibility of an event at PIR. REGIONAL EXEC: Tim praised Kristen for the great job that she did on The Majors. He was impressed with her handling of that big event. He reported that we are looking forward to the upcoming June 8th TNiA to be a sell out as is usual for these events. On the Saturday evening of Rose Cup a pot luck is being planned for all drivers. There is a chance that some live music could entertain. Tim asked who he should check with on availability of logistics for this. Mary suggested that he talk to Sandy Bauer who is the promoter to get any information. A suggestion was made that we forego a banquet per se, and offer a picnic type, “Celebration of Champions” at the track on Sunday of our last event in August. This would allow more of our out of area drivers to join in. Also we would not be trying to arrange a date around Thanksgiving and other banquets in the area. Aaron with see what options might be available to planning this kind of function. Another topic discussed was an awards chair person. Sandra Ferrick agreed to chair this with help from Allie. THANKS SANDRA! Karen will do a blast at the end of May to all of the members to solicit suggestions for the individual driver awards that are annually presented. REGIONAL OFFICE: Absent TREASURER: Absent LOUD PEDAL: Absent Report via e-mail With the event year in full swing, I plan to fill the magazine with event reports from our venues and advertise upcoming events, especially the Rose Cup and Indy Car. Traffic remains strong on our website, with lots of people showing interest. I plan to be at the May 18 TNIA and at the Majors in May taking photos. Tim, I still have the bucket of car care products to be given away. I’ll bring those to TNIA. After the Majors, I’ll also start to promote the Runoffs, as I’m hearing from many of our drivers that they plan to head for Sonoma in the fall. I’ve got my reservations made as well! DIRECTORS REPORTS: ROAD RACE: Kristen remarked that the April was bad but good. The weather made up for the bad but the overall weekend was good! 67 entries on Sat and 53 on Sunday. Looking forward to a really positive event for the May Super Tour. Better weather and drivers chasing those points for the runoff should benefit us. SOLO II: Absent RALLY: Jacob reported how pleased he was with the support from his group on the noise variance issue. He got the word out and the response was great! A property was found that would serve The Rally Group well close by in WA. The property owner is a very nice guy but unfortunately another group has entered into an agreement with him that they are the exclusive users of the property for rally events. This group runs their events on Saturdays and we run on Sundays. This could be a co-op opportunity where both groups could share. However the other group considers this an intrusion of their agreement with the owner. The suggestion was made that Jacob see if there is the possibility on some intervention by Ntl SCCA to seek a cooperative arrangement. However, this may not be possible. VINTAGE: No report DIRECTOR I: Aaron gave a run down on the April TNiA. Heyward Wagner (the developer of The TNiA project) from the Ntl Office joined us for this event. He offered suggestions to our staff and worked various areas during the event. This event saw our first accident. Fortunately the driver was unscathed, the same could not be said of his vehicle which was unfortunate. DIRECTOR II: Absent PAST REGIONAL EXEC: Todd advised that The Rose Cup Event is moving along nicely and he should have more to report on it at our June meeting. ASST: REGIONAL EXE: Derrick talked about Grid Life (Music & Motorsports Festival. A one of a kind event celebrating all aspects of automotive enthusiasm. RACE. DRIFT. MEET. SHOW. MUSIC.) The promotors of this group are looking for a west coast group to run an event in 2019. Derrick describes it as a track day with a social atmosphere. Regional Exec Tim called the meeting to order at 6:45 PM. Regional Exec Report: ---TNIA Income (National SCCA Proposals). After discussion, the Board opted to accept the “Flat Fee” proposal for our 2018 events. No cost to Region for expenses. ---TNiA Grant. Discussed the many areas that we might use this grant, i.e., cones for Solo, banners for Membership, radios for Road Race. Kristen will get a quote on new or refurbished radios. Assistant Regional Exec Report: Derrick was absent but sent information on “Grid Life” events which are hybrid music & automotive festivals. So far, these have been & are being scheduled in the Midwest & South. The Board discussed possibilities such as a TT party, music, autocross, food vendors, car show, etc. Sounds like a great experience but probably something we should not try to plan for 2018. More detailed info can be found at www.grid.life. Past Regional Exec: Todd shared entry numbers so far this year from other regions. Comparing entries to 2014 (the last time Runoffs appeared on the west coast) we should not expect the entries we saw in 2014. One reason is that many competitors went to Indy Runoffs and their budgets are small this year. Road Race Director: ---Kristen is encouraged that our Driver School is all race cars this year, compared to a past year when many people wanted to enter the school in a street car. ---Telo Stewart’s Formula Car Challenge (FA/FM) group will again attend our May Super Tour. They will enter our regular race group of open wheel cars. ---Oregon Region’s Starter Team requested & received approval to purchase a digital sign board to replace the number board we’ve used for the past 30 years or so. Rally Director: Much discussion was held regarding other organizations hosting SCCA-sanctioned RallyCrosses in our Oregon Region territory. M/S/P (Tim S/Rio) to extend the same sanction & overhead fees to any group who hosts an SCCA-sanctioned event in Oregon Region territory as we charge to Oregon Rally Group and our own Solo group. Jacob extended his appreciation to the Board for their support. Solo Director: ---Starting Line school on 3-24-18 was maxed out at 25 students. Ninety competitors attended the Sunday event, in the pouring rain! Solo is considering adding another Starting Line event this year and combining it with a women-only event on Sunday. Vintage Director: Tim S. reported that Annual Tech was a big success on Saturday. Processed 16+ cars, 6 of which were brand new to SCCA! Thank You, Tech Crew, for providing this service every year. Director 1: Aaron plans to work the TNiA events and help out wherever he can, as he has done the past several years. Thank you, Aaron. Regional Office: ---Tire Rack Street Survival 3-11-18 was maxed out at 44 students! Rio will conduct classroom instruction for future events. Solo could provide instructors if we want to schedule another event this year. (Update: PIR has no other dates available except the one in June that Solo already has scheduled for an event. Maybe we should plan in 2019?) ---Race Worker Training 3-17-18. Karen signed up 20 new volunteer members, basically the entire class. ---Membership. We currently have 1184 members. Treasurer: Karen provided P&L & Balance Sheets to Reg Exec, Road Race Director, & Asst Reg Exec by email. Loud Pedal / Website: Jeff emailed report which is attached to these minutes & quoted here: ---Sorry to say I’ll be out of town for this meeting, but the LP status is: Everything is good - lots of great content and things are smooth. ---The website is up to date and we’re getting great traffic this spring. Solo, as usual, is leading the way. ---The Rose Cup program is also coming along nicely. We have a plan for content and I’m collecting good stuff from PWC. ---I will be at the track for the April event (though not the TNIA), and I’ll have my petitions to run for the national board at that time. The secretary gave him Kristen’s contact info. He will contact her and get ready to join us on track. They are looking for volunteers to help with the upcoming Starting Line event. There are 22 participants signed up at this time. Rio said that they may do another Starting Line event along with NW Region in Packwood. Rio is looking forward to The Teen Street event. He is planning to shadow the presenter of the classroom portion. He can then be a back-up for future need. RALLY: Jacob advised that The Oregon Rally Group put the word out regarding the noise variance issue for the upcoming events that need it. He is aware of 20 responses and suggests this would most probably improve if it was promoted earlier next year. He was pleased to announce that after they reviewed their records and they calculated the amount due the region, a check was cut and sent to Karen at the office. (Karen advised that this check had been received) The search for land continues and a lead on an area on Deer Island was passed to Jacob b Garry, our visitor. VINTAGE: Tim said that they are planning the pre-season Tech for March 31st. He wants to get region info into as many hands as possible. REGIONAL EXEC: Tim was please to advise that the region will be the recipient of $1,750 from a grant provided by Ntl. SCCA. This will be used for needs within the region ie: radios, cones for Solo and other areas that are I need. To make TNiA profitable for the region he has been working with Ntl. to supplement our expenses. More info to come regarding this. His efforts & enthusiasm are greatly appreciated! TREASURER: Absent LOUD PEDAL: The web site has been updated and it looks good. Currently 1500 hits a week with the most popular being the Solo Schedule. He mentioned that NW member Mel Kemper was named the most improved driver at the runoffs. Jeff announced that he plans to run for The National BOD position that has been held by Jim Weidenbaum. His term is up at the end of the year. The BOD was ecstatic! DIRECTORS REPORTS: ROAD RACE: Kristen mentioned that Spec Miata will have their own run group at the April event. Friday will be a test day. The first 10 drivers to register for the school will be offered a special deal! The May schedule has been sent to Ntl. For approval. While June was not the best event…due to the weather, she is hoping for better weather this year. Also, having the Majors in PDX and the runoff on the west coast should bolster our entries. SOLO II: Rio thought The Auto show went well. The volunteers were great with both Solo and Rally staffed the weekend jointly. He found the location questionable and thought we should go for a more prominent spot next year. He felt the convention was awesome and he came away with valuable info. Glad that he attended. Solo will have their first event in mid-March. RALLY: They looked at some land in WA that may be available for events but continue to look for sites between Portland & Seattle. Jeff mentioned that at one point there was interest by a group in Grand Ronde associated with the casino there, to utilize land for track type events. Jacob advised that Rally has completed the audit of their treasury and will be sending the region a check to cover their past events as previously agreed to. REGIONAL OFFICE: Karen advised that our booth for The Portland Auto Show is 10 x 20. This provides room for display of a car as well as table with literature and other displays as needed. She will put out an e-mail to recruit members to man the booth for the four days. Registration for our April event will be opened soon, drivers have already been asking. The first Tire Rack Street Survival is scheduled for Mar 11 and Sept 16th. TNiA dates to be announced. Good news after a loss in 2016, we ended positive for 2017! TREASURER: Absent LOUD PEDAL: Absent Report sent via e-mail LP/Website report is easy - Great January issue because of all the great columns and input I received. Let’s keep that going for February! We continue to get steady website traffic of about 1,000 to 1,200 unique visitors each week, and about 3,600 - 4,000 page views a week, so each visitor is averaging about four pages. The most-visited pages are the event schedules, board meeting minutes, Club Racing home page, Time Trials home page, Loud Pedal home page, and the Rally home page. Apart from the ORSCCA home page, the 2018 Solo Event Schedule is the most-visited page on the site. DIRECTORS REPORTS: ROAD RACE: Kristen looking forward to a good season with the following events: Apr 14-15 May 19-20 MAJORS June 9-10 Aug 10-12 Some of our drivers will participate in The Rose Cups on July 13-15. Aaron asked if there was a less expensive route for a driver to get his license than what we currently offer. Kristen advised that the one day school for $1200 that gets the driver his novice license that day is the best deal available. Karen said that the current process was adapted due to the fact that the region could no longer afford to do a school on their own. SOLO II: Rio advised of the staff changes within his group. He, along with Bernadette Kuehn will co-chair the operation. Due to the lack of more convenient sites for their group, 2017 saw Solo in the red. They have plans to do more community involvement via veteran participation events as well as looking at a women in racing event. Getting ready to staff their booth at the auto show and coordinate the format. RALLY: Jacob and group continue the search for land. A possibility is a spot in Astoria that they are looking into. They need at least 10 acres or more. VINTAGE: Tim Scott shared info on a site in Toutle that is looking for users. He provided business card and info to both Solo & Rally. He also offered to guide them there as well. Tim asked when any changes to Vintage Rules would need to be reviewed for approval. Karen advised as early in April as possible. DIRECTOR I: Aaron said that he thought the banquet was fun. He would like to welcome any feedback from others. He would be happy to help on whatever we do in 2018. He feels that we really need to target the younger participant if we are to succeed. Club Trials are a great way to achieve this. He hopes to be able….with help to use social media to generate some interest into our sport. He loves racing of all kinds and wants to get others involved. REGIONAL EXEC: Tim said that he supports Derrick’s thoughts and feels that if he contacts some of our current young people that they can help him get the work out. As both RE and a participant, Tim is looking forward to a great year. With The Runoffs on the west coast he is hopeful that we will see lots of activity at our events leading up to them. Hopefully with a little pro racing back in town it will generate interest that will then bring us new faces. He thinks that Club Trials and TNiA will bolster that as well. Tim also asked if we plan to have a booth at The Rose Cup and Karen said yes. REGIONAL OFFICE: Karen advised that the recent Teen Street Survival was another success. We hosted the 1000th event in the nation and have had over 700 teens participate at PIR. DIRECTORS REPORTS: ROAD RACE: Kristen presented the 2018 schedule as: April 14-15 Dbl May 19-20 Super Tour FCC to participate June 9-10 Dbl Aug 10-12 Triple (date not confirmed) Rose Cup date in July to be firmed up yet by Fopir & PIR The BOD reviewed and discussed those in the running for the 2017 region awards. This is never an easy task as there are so many deserving to be honored. After review decisions were made and will be presented at the annual awards banquet in November. A decision was made to retire The Lew Scott Award. Lew had funded it for several years after which The Region continued funding it for the last five years. SOLO II: Rio and The Solo Group are also in the market for some real estate. They have experienced an increase in hotel rates in the area where they have been running, camping facilities have not been an option either so that has put a crimp in their participation this year. They are interested in hearing of any available sites that would suit their needs. Solo would like to once again help at the auto show if we do it. Rio helps at The Teen Street Survivor events and thinks that we should look at creating a like event targeting adults. He feels there would be interest in it. RALLY: Jacob advised that they are desperate for real estate! Their entries have been down due to the fact that they have had to travel further to put on their events. They were only able to stage 3 events this year. The need is for a minimum of 10 flat acres. They are able to pay for usage. He will follow up on any leads that he is made aware of. Rally is interested in participating in helping if we decide to have a display at The Portland Auto Show in January. VINTAGE: No report DIRECTOR I: Randy reported that BOD election slate was completed and presented to the secretary and Reg Office Admin for distribution to the membership for voting. DIRECTOR II: Banquet arrangements have been confirmed and menu has been chosen. Personally he felt it was a great experience to run where so many greats have done so previously. Just standing on the brickyard itself was inspiring and momentous. He said that the onsite museum is filled with memories of famous SCCA drivers. With the runoffs at Sears Point in 2018 our May Majors at PIR should be well attended.
